What counts as allowable mileage for landlords
Landlords/agents travelling for a business purpose: viewings, inspections, check-ins/check-outs, repairs, licensing appointments, bank or council visits.
Employees using their own vehicle for work travel, not ordinary commuting.
Self-employed who choose the simplified mileage method rather than full running-cost apportionment.
You should not claim mileage for ordinary home-to-work commuting or claim fuel receipts and mileage for the same journey, pick one method. Then save all your receipts and expenses with August.
HMRC mileage rates for landlords 2025/26
HMRC sets approved mileage allowance payment (AMAP) rates each tax year. For landlords using their own vehicle for rental business travel, the current rates are:

If you carry a fellow employee as a passenger on the same business journey, you can claim an additional 5p per mile per passenger (cars only). The calculator above applies these rates automatically and handles the threshold crossing mid-year.
How to use this mileage calculator
Enter Home postcode and Rental postcode (or tap Use my location).
Select Vehicle and Trip type (single or return).
Set Number of trips and enter Business miles already this tax year if you have any.
If applicable, choose Apply passenger rate? and set the number of passengers (car only).
Click Calculate mileage to see:
Route distance (one-way), Miles per trip, Total miles,
Allowable cost, and a rate breakdown across bands.
Click Save to August to attach the calculation (with map, postcodes, date, and notes) to the property.
Worked examples: landlord mileage calculations
Example 1 — Single return trip, car/van
Home: SW1A 1AA → Rental: M1 1AE
Trip type: Return, Number of trips: 1
Business miles this tax year: 0
The calculator maps the route, multiplies the one-way distance by two, and applies the higher car/van rate. Allowable cost and a banded rate breakdown appear in Results.
Example 2 — Multiple visits crossing the threshold
Six return trips this month; you already logged 9,700 business miles this tax year.
The calculator allocates the first 300 miles at the higher rate, then any remaining miles at the lower rate automatically. The breakdown shows how many miles fell into each band.
Example 3 — Passenger uplift (cars only)
Two colleagues ride with you on the same business journey.
Set Passengers = 2 and “Apply passenger rate = Yes”. The calculator adds +5p/mile per passenger to the allowable cost for the car method and shows this as a separate line in the breakdown.
Record keeping for HMRC mileage claims
Good mileage claims are about evidence. You need to keep a record of:
Date and purpose of each journey (inspection, contractor visit, licence meeting).
Start and end postcodes and the mapped distance (screenshot saved with the entry).
Vehicle type and whether passenger uplift was applied.
Number of trips and any notes (e.g., “keys collected from agent”).
At quarter- or year-end you can export a clean mileage report per property or across your portfolio. Record all expenses with August.
